When our marketing team asked me to write an article on project closeout best practices, my first question was, “Do you mean winning new projects or closing out existing ones?”
It didn’t take long to realize those two ideas are closely connected. The way we close a project says just as much about us as the way we begin one. Successfully closing out projects—delivering on promises, exceeding expectations, and leaving clients satisfied—is what earns us the opportunity to win the next one. It’s a continuous, logical cycle of trust and performance, and it all ties directly back to strong project closeout best practices.
Years ago, when I was running an HVAC/R construction division for a local utility, I had the opportunity to participate in a unique team-building event that tied the two together in a way that was very enlightening. An organization called Afterburner sponsored a team-building event that focused on tips from the book, “Flawless Execution,” and the final element of the execution metric was the debrief or after-action report. A critical step that identified not only what went wrong, but what went right — a concept that aligns closely with today’s project closeout best practices. The “project debrief” serves two purposes: It identifies and documents everything that transpired during the “mission,” enabling a detailed review of the processes and procedures that were applied and the success or failure of each, and it records results for future learning and reiterates customer acceptance.
